About the Opportunity

As part of the continued integration of our Eastern Europe (EE) Cluster, we are introducing an internal Admin Lead role to strengthen collaboration and consistency across our administrative community.

This is an internal career development opportunity for an experienced member of the EE Cluster administration team who is looking to broaden their impact by taking on a supervisory role.

The selected colleague will remain in their current position and continue to perform their existing roles and responsibilities, while assuming additional supervisory responsibilities to coordinate, guide, and develop the EE Cluster administrative community. Working closely with the Cluster HR & Operations Director, the Admin Lead will support the implementation of cluster-wide administrative policies, procedures, and best practices, while driving operational improvements and providing day-to-day coordination and supervision of the administration team.

Reporting to the Cluster HR & Operations Director, the Admin Lead will provide team leadership to a distributed community of Office Managers, Office Coordinators, Executive Assistants, and Partner/Admin Assistants, fostering collaboration, consistent ways of working, and operational excellence across the cluster.

Responsibilities

Your Role

In addition to your existing role and responsibilities, you will serve as the Admin Lead for the EE Cluster, providing day-to-day coordination, guidance, and supervision to the cluster administration team.

As the team lead of the EE Cluster administrative community, you will:

  • Supervise, coordinate, and support Office Managers, Office Coordinators, Executive Assistants, and Partner/Admin Assistants across the cluster.
  • Foster collaboration and knowledge sharing across offices, creating one connected administrative community.
  • Drive the standardization of administrative policies, procedures, and best practices to ensure consistent, high-quality service delivery.
  • Identify opportunities to streamline administrative processes and improve operational efficiency.
  • Support the professional development of team members through coaching, guidance, and regular communication together with Cluster HR & Operations Director.
  • Work closely with the Cluster HR & Operations Director and local office leadership to strengthen administrative operations across the EE Cluster.

Qualifications

Desired Skills & Qualifications

  • Minimum 7 years of experience in an administrative role, such as Office Manager, Administrative Coordinator, Executive Assistant, Department Assistant, or Leadership Assistant.
  • Fluent in English, with excellent written and verbal communication skills and the ability to interact confidently with senior leaders and colleagues across all levels.
  • Strong organizational, planning, project coordination, and analytical skills, with the ability to structure work effectively and manage multiple priorities.
  • Proficient in Microsoft Office (Excel, PowerPoint, Word) and comfortable adopting workflow automation and AI-enabled productivity tools.
  • Excellent time management skills with a high level of accuracy and attention to detail.
  • Solid understanding of administrative policies, procedures, and process improvement, with the ability to simplify and streamline ways of working.
  • Demonstrated ability to foster collaboration, build team spirit, and create an engaged administrative community across multiple locations.
  • Positive, approachable, and service-oriented mindset, with the ability to make the workplace enjoyable while maintaining high standards of professionalism and operational efficiency.
  • Strong sense of ownership, responsiveness, and willingness to support colleagues and business needs.
  • Ability to build trusted relationships and maintain close collaboration with the management team and the wider administrative community.
  • A proactive mindset with the confidence to take initiative, drive improvements, and lead by example.
